A replacement that worked
The Region’s first booking app was developed in 2020–21 to keep people apart during COVID. It didn’t work out: the requirements changed, and people were returning to the office. dAPPERtutto replaced it with a different goal. After the move to smart working, the question was no longer how to keep people apart, but how to use office space well.
Live in December 2022
The first phase covered one directorate of the Region: two buildings, about four floors and 300–400 people.
- Desk booking with booking rules and a mandatory check-in to confirm presence.
- Available on the web, Android and iOS.
- Quick booking with an NFC tag on every desk and in every meeting room.
- Meeting rooms were added soon after launch. Until then they were managed with a sheet of paper hanging on the door.

Growing every year
- 2023–24: regional coworking spaces in Ferrara, Modena, Ravenna, Forlì-Cesena and other cities, with a coworking allowance of days per employee every six months. Buildings without a reception desk got smart locks that open from a phone (Ravenna, Imola and a third site).
- 2024–25: an agreement with Poste Italiane (the “Spazi per l’Italia” project), integrated through a web service, gives access codes for doors, turnstiles and Wi-Fi (Riccione, Sassuolo, Imola). Attendance records now flow into SAP ERP, and a new “mixed day” lets employees spend half the day in the office and half in smart working.
- Ready, not yet live: booking for the bike station (smart lock and e-bike charging) and a multi-agency mode.
What it changed for the Region
- Less office space. Rationalising the buildings freed up funds, which were then used for flood relief.
- Less energy. Air conditioning and heating start only for booked desks, about 30–45 minutes ahead in summer and about 40 in winter. On quiet days, whole floors are not heated or cooled at all.
- Users always up to date. A daily ETL syncs users with the SAP organisation chart. Before, new hires, transfers and retirements were often missed.
Adoption
Usage is in the thousands of people, and the Region keeps asking for new features: a shuttle between the station and the Fiera District, attendance at training courses, virtual clock-ins and emergency management.
